$25 per hour, 20 hours per week
Our mission is to transform the lives of Coastsiders experiencing homelessness through
meaningful employment, skills training, community-building, food justice, health and sobriety
resources, housing referrals and other supports, enacted through three program branches: Full
Circle Food Justice, Coastside Clean Team, and services at the Workforce Development Center.
OVERVIEW:
The Executive Assistant must be creative and enjoy working within an environment that is
mission-driven, results-driven, and community oriented. The ideal individual will have the ability
to exercise good judgment in a variety of situations and will possess strong written and verbal
communication, administrative, and organizational skills. The ability to maintain a realistic
balance among multiple priorities is imperative. The Executive Assistant must be able to work
under pressure at times to handle a wide variety of activities and confidential matters with
discretion.
Executive Assistant Skills and Qualifications
● Excellent written, verbal, telephone communication skills, and people skills.
● Time-management skills
● Ability to pay attention to detail
● Organizational skills
● Ability to multitask
● Basic understanding of frequently used computer software and programs, such as Google
docs, sheets, basic web such as Squarespace, AirTable, Tick-Tick, etc…
● Interpersonal skills, basic conflict management skills.
Executive Assistant Responsibilities:
● Work directly with the Executive Director to support all aspects of his daily work routine.
● Draft, review and send communications (insurance, bookkeeping, other non-profits, county
correspondences or other govt agencies). Prioritize emails and respond when necessary – draft
and make sure ED follows up – Develop standard operating procedures (SOP’s) and time lines
for various types of communications that occur on a regular basis
● Create checklists that organize and prepare ED for all regular meetings, gathering necessary
documents, and tending to logistics of meetings ( staff meetings, donor meetings, fundraising,
board meeting)
● Maintain the ED calendar including scheduling meetings, appointments, speaking
engagements, and travel arrangements. Use Tick-Tick app which interfaces with Google to
organize calendar and tasks.
● Answer and respond to phone calls, communicate messages and pass information to the
executive. Entails receiving and screening phone calls and visitors, answering a variety of
questions with tact and diplomacy, taking messages, and directing calls appropriately for
resolution.
● Streamline and organize passwords for all online accounts, apps and so on.
● Determine priority of matters of attention for the ED; redirect matters to staff to
handle, or handle matters personally, as appropriate.
● Handle printing, faxing, mail/overnight packages, copying, filing, and
email/messages when needed.
● Maintain e-mail and other address directories on our donor database on Bloomerang.
● Maintain paper and electronic filing systems.
● Maintain confidential and sensitive information.
● Other additional and/or alternative duties as assigned from time to time.
